Purpose

Reporting to the Deputy Registrar, the Associate Registrar provides strategic leadership and operational oversight for key academic functions within the Office of the University Registrar. In this pivotal role, you will lead university-wide efforts to support student degree progress, manage academic program governance, and ensure compliance with academic policy and external regulations. You will shape and implement institutional strategies that uphold the integrity of academic records, support student success, and advance policy-aligned service delivery across schools and administrative units.

As part of Student & Academic Services' commitment to improving and streamlining the student and staff experience, you will provide functional and technical leadership for high-impact areas such as degree audit (MAP), transfer articulation, academic program structure, tuition assessment, and student registration statuses. You will partner with academic departments, university governance committees (e.g., C-USP, C-GS, C-RUM), and administrative stakeholders to manage new program implementation and policy change, ensuring alignment with faculty-approved requirements and governance standards.

Your responsibilities will include leading the Degree Progress, Degree Audit, and Programs teams; managing quarterly degree conferral and commencement; overseeing academic program review and University Bulletin maintenance; and supporting system governance and configuration. You will also collaborate with Institutional Research & Decision Support (IR&DS) to support initiatives such as Future in the Major reporting and with Compliance and Athletics to support NCAA certification through MAP.

Student & Academic Services Leadership

• • Provide strategic direction and operational leadership for the Degree Progress, Degree Audit, and Degree Programs units within the Office of the University Registrar.
  • Directly supervise Assistant Registrars and Student Services Specialists; mentor staff, set clear performance expectations, and foster professional growth through coaching, feedback, and leadership development.
  • Represent the Office of the University Registrar in cross-campus committees, workgroups, and meetings with deans, faculty, academic departments, administrative offices, and student groups.
  • Advise the Deputy Registrar on operational planning, staffing, and policy decisions related to academic progress, degree audit, and program governance.
  • Oversee and maintain Confluence-based documentation and internal policy knowledge bases to ensure consistent application of procedures and accessibility of resources across the university.
  • Lead team retreats, training programs, and process improvement workshops to build a collaborative, high-performing team focused on innovation and service excellence

Degree Progress and Audit

• • Set the strategic vision for student degree progress, tuition assessment, and transfer articulation, partnering with faculty, Schools, and the Offices of the Vice Provosts for Undergraduate, Graduate, and Postdoctoral Education.
  • Lead the ongoing development and enhancement of the university's degree audit system (MAP), including system design, configuration, release planning, and collaboration with vendors and internal partners.
  • Manage quarterly degree conferral and commencement processes, including validation of degree requirements, resolution of exceptions, faculty Senate coordination, and student communications.
  • Oversee transfer articulation operations, workflows, and tools to ensure accurate evaluation of external coursework and equitable credit application.
  • Conduct routine audits of degree data, exceptions, and transfer rules to ensure compliance with faculty-approved curriculum and university policy.
  • Coordinate cross-functional teams to address system limitations, propose new functionalities, and implement enhancements that improve degree progress tracking and advising tools.
  • Collaborate with Institutional Research & Decision Support (IR&DS) to support data-driven initiatives such as Future in the Major reporting and integrate reporting tools into student-facing platforms.
  • Ensure appropriate physical, technical, and administrative controls are in place to protect student academic data applicable to a student's educational record under FERPA (Family Educational Rights and Privacy Act).

Degree Programs Governance

• • Serve as the university's lead operational partner in managing academic program structures (degrees, majors, minors) and coordinating the review and implementation of program and policy changes.
  • Partner with faculty governance committees (e.g., C-USP, C-GS, C-RUM), academic units, and administrative stakeholders to ensure alignment with approved curricular requirements.
  • Oversee the maintenance and accuracy of academic program information in the University Bulletin, degree audit (MAP), and curriculum management systems.
  • Facilitate university policy review and implementation processes, supporting compliance across student systems and communications.
  • Present proposals and provide subject matter expertise to faculty committees on new or revised programs, academic policies, and student statuses.
  • Lead the Registrar's Office response to complex academic policy inquiries in coordination with partners such as OGC, VPUE, VPGE, and Title IX.
  • Evaluate third-party tools to support program management and articulation, collaborating with University IT and vendors to enhance functionality and integration.
  • Ensure continuity of operations and policy compliance in the Registrar's role supporting the Faculty Senate and academic program governance.
