The Office of Government Affairs coordinates and facilitates Stanford University's and Stanford Health Care's (SHC) interactions with all levels of government, as well as its relationship with neighboring communities. The office promotes the interests of the University's and SHC's key constituents through contact with the community, public officials, involvement with educational organizations, tracking of pertinent legislation, and direct advocacy on a wide variety of issues from land use policies to funding for the basic sciences to health care. The Office of Government Affairs supports the university's academic mission of teaching and research and SHC's mission by serving as the primary point of contact between the university, hospital, and our partners in federal, state and local governments.
Stanford Health Care (SHC) is part of the adult health care delivery system of Stanford Medicine. Combining clinical care, research, and education to advance the understanding and practice of medicine, we provide compassionate, coordinated care personalized for the unique needs of every patient.
The Government Affairs, Stanford Health Care team seeks an experienced Executive Assistant and Project Manager to support the Associate Vice President, SHC Government Affairs, the Senior Director, Community Health and Partnership, and others on the team. The Executive Assistant will provide administrative and operational support including managing calendars, processing financial transactions and expenses, and coordinating meeting and event logistics. This position requires senior administrative skills and a high degree of organization; high flexibility and high responsiveness; the ability to successfully juggle multiple competing priorities; the ability to work independently and exercise good judgment; and demonstrated quick-thinking, initiative, diplomacy, tact, and calm. The Executive Assistant will also play a key role in supporting the coordination and delivery of community benefit initiatives, helping ensure these projects achieve meaningful impact. In this role you will:
Represent the Government Affairs, Stanford Health Care team as the point of contact for guests, collaborators, external entities, and others making inquiries.
Act on behalf of the AVP in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
Plan and schedule multiple complex calendars with limited or no consultation and resolve calendaring conflicts, keeping in mind priorities and preferences, and striving to optimize the use of time.
Research and/or write background information for meetings and briefings.
Support the coordination and implementation of community benefit projects, ensuring effective communication among stakeholders and timely achievement of project milestones, and assist with administrative duties and filings (including Quarterly Lobbying reports on behalf of SHC to California Secretary of State).
Manage complex business travel, purchases, expense reports, and other financial transactions in compliance with unit, university, and sponsor policies.
Establish and maintain strong working relationships with SHC senior executive administrative staff, SHC Finance, SHC IT, and other personnel who are resources for performing job responsibilities.
Assist with coordination of projects with other members of the SHC Office of Government and Community Affairs office.

To be successful in this role, you will bring:
High school diploma and six years of administrative experience, or combination of education and relevant experience.
Administrative support experience preferably in a hospital or health care setting strongly preferred.
Experience with or interest in government and community relations issues preferred.
Advanced computer skills and demonstrated experience with office software and email applications.
Proven success in following through and completing projects.
Excellent organizational skills and attention to detail.
Excellent verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize, multi-task, and assign work to others.
Ability to take initiative and ownership of projects.

Working Conditions:
May require occasional overtime and working flexible hours, including nights and weekends.
The expected pay range for this position is $44.84 - $50.43 per hour.
